How to Price Your Products Right (Free Calculator)

June 20, 2026·7 min read·Syntra Blog

Most small businesses price by gut feel and end up with real margins of 5-15% when they think they're making 40%. Try the calculator and see your true costs.

The pricing mistake 80% of small businesses make

You sell a product for €10. You estimate raw materials are about €2. That's an 80% margin, right?

Wrong. When you add energy costs, labour time, packaging, rent allocated per unit, waste and shrinkage, the real cost can easily be €4.50–€6. Your actual margin: 40–55%, not 80%.

And that's if you even have all the numbers. Most small business owners don't — they price by feel, by looking at competitors, or by the traditional "double it" rule. The result: you work hard and wonder why there's never enough money at the end of the month.

Food cost, service cost, job cost: one concept, every sector

Syntra's cost calculator works for any type of business:

  • Restaurantsfood cost: ingredient cost per dish or drink
  • Beauty salonsservice cost: product cost per treatment
  • Craftspeopleproduction cost: materials + time per item made
  • Retail & e-commerceproduct cost: goods + packaging + fulfilment
  • Constructionjob cost: materials + labour per job
  • Servicesdelivery cost: resources consumed per project
  • In every case, the principle is the same: real cost → optimal price → target margin.

    How Syntra's calculator works

Step 1: create a product or service sheet

Name it — "Margherita pizza", "Full colour + cut", "Oak stool", "200g soy candle" — and add components with quantity and unit cost.

Syntra detects your sector automatically (or asks once) and adapts the terminology: ingredients for restaurants, materials for craftspeople, products for salons.

Step 2: add labour and overhead (optional)

    For a complete picture, add:

  • Labour: minutes per unit × hourly rate
  • Overhead: a percentage on the subtotal to spread rent, utilities, and other fixed costs
  • Step 3: move the target margin slider

    Syntra calculates in real time:

  • Total real cost (materials + labour + overhead)
  • Recommended price for your target margin
  • Current margin if you enter your current selling price
  • Gap: how much you're above or below the optimal price
  • Real example: soy candle (e-commerce)

    Materials: soy wax 200g (€0.90), fragrance 12ml (€1.80), glass jar (€1.20), label + box (€0.65). Total materials: €4.55.

No extra labour, no overhead. Target margin 70%.

    Recommended price: €15.17.

Current selling price: €14.90. Margin: 69.5% — almost there. Just raise by €0.27 and you hit your target.

That's the kind of insight that takes seconds in Syntra and years to figure out by feel.

Real example: hair colour + cut

    Products applied: tint 60ml (€10.80), developer 60ml (€2.40), shampoo (€2.40), treatment (€1.20). Total materials: €16.80.

    Labour: 90 minutes at €15/hr → €22.50. Subtotal: €39.30. Overhead 10% → total cost: €43.23.

Current price: €38.00. The salon is selling below cost (including labour). They're losing money on every service.

Optimal price for 35% margin (realistic for this sector): €66.51.

    The 30-day guarantee

Syntra is the first app that connects your raw material invoices with real cost calculations and per-product margin — all in real time.

In 30 days with the right prices, you will see more money in your bank account. This is maths, not marketing. If the salon in the example raises from €38 to €67, that's €2,900 more per 100 services per month.

    Plans and limits

The calculator is available on every plan:

  • Free: 2 sheets (to test with your most important products)
  • Starter (€33/month): 10 sheets
  • Pro (€83/month): 33 sheets + technical support for pricing
  • Business: unlimited sheets + priority support
  • The Pro plan includes direct help from our team to calculate the right price from raw materials. For complex businesses or those with many products, this can mean thousands of euros in recovered margin per year.
