AI Invoice Scanning: From Photo to Bookkeeping

4 June 2026·5 min read·Syntra Blog

Upload an invoice as a photo, PDF or WhatsApp message and AI extracts the data and tags the expense. See the full workflow, what it captures and its limits.

From paper to dashboard: the full workflow

Entering invoices by hand is one of the most time-consuming parts of running a small business: type the supplier, the net amount, the VAT and the date, pick a category, and hope you did not mistype anything. AI invoice scanning replaces that with a short workflow that starts wherever you happen to be.

Step 1: send the invoice the easy way

You can upload a photo, a PDF or an image from the dashboard, or send it through WhatsApp. Syntra accepts JPG, PNG, WebP and PDF files. WhatsApp is the most convenient option when you are on the move: photograph the receipt or invoice and send it, without opening another app or sitting at a computer.

Step 2: the AI reads the document

The model does not just copy text. It interprets the structure of the invoice (header, line items, totals) and pulls out the fields that matter:

  • Vendor or issuer name and invoice number
  • Issue date and due date
  • Tax base, tax rate and tax amount, plus the total
  • Line items with quantities and unit costs, where the invoice lists them
  • The tax treatment, such as standard or reduced VAT, Flat Rate Scheme, reverse charge, or IGIC for the Canary Islands
  • It then checks that the numbers add up (net plus tax equals total) and that the date is valid. Every extraction comes with a confidence score, so you can tell when to double-check a value.

Step 3: the expense is categorised

Each invoice is assigned a category (Software, Marketing, Property, Services, Operations, Utilities, Insurance, Payroll, Taxes or Other). That turns an invoice from a number into information you can use:

  • See what you spend in each area and compare month to month
  • Spot costs that are creeping up
  • Have the VAT on purchases ready when the return is due
  • Feed your profit and loss without touching a spreadsheet
  • If a category is wrong, you can edit it from the document page.

Where the AI needs your help

AI extraction is reliable on clear, well-lit documents. It can miss on blurry photos, crumpled paper or faded thermal receipts, which is why the confidence score exists. It also cannot make tax decisions for you: whether an expense is allowable, how to treat a special transaction, or which VAT scheme applies is still down to you or your accountant. For the rules, see our guide to self-employed tax deductions in the UK.

    Tips for better scans

  • Photograph the whole document on a flat, well-lit surface
  • Send the PDF from the supplier instead of a photo of a screen when you have it
  • Keep one invoice per file
  • Review anything flagged with a low confidence score before you rely on it

    Frequently asked questions

Which file formats can I upload?

JPG, PNG, WebP and PDF. You can upload from the dashboard or send a photo through WhatsApp.

What data does the AI extract from an invoice?

Vendor, invoice number, issue and due dates, tax base, tax rate and amount, total, the tax treatment and an expense category, plus line items when the invoice lists them.

What if the AI reads a value wrongly?

Each extraction includes a confidence score. Low-quality documents can fail, and you can edit any field and the category from the document page.

Does AI scanning replace my accountant?

No. It saves manual data entry, but tax decisions such as what is deductible or which VAT scheme applies remain yours or your accountant's.
